I let Gemini manage my daily priorities; my productivity surged

I've relied on Gemini as my assistant on my Google Pixel and other Android devices for over a year, and it's boosted my productivity across everyday workflows and heavy, extensive tasks. However, setting up Gemini can feel overwhelming if you're still getting the hang of it or starting from scratch, no matter your experience level. Over time, I've used Gemini as my daily assistant and identified the most practical ways to leverage its features to genuinely maximize productivity. Learn what Gemini connectors work for you Task is the most capable tool in the app Gemini has become a versatile platform, packing in-chat tools alongside a rich collection of connectors for Android and Google apps. To fully take advantage of these tools, you need to understand how they work under the hood, not just stumble through the basics. In my case, I'm on the Google AI One Pro plan, which gives me access to Spark, recently renamed Task. Unlike regular Chat, it functions like an agent built directly into Gemini that handles recurring routines and scheduled operations. It also covers everything Scheduled actions can handle, like executing a single targeted command. Task is the evolution of this setup, covering multistep, complex workflows with less supervision. How I saved hours with Gemini Task I turned it into my dedicated digital assistant I only realized how invaluable Task is after I set it up properly and let it do the heavy lifting. First, I shared my typical scope of work and schedule with Task, so it knows what I do. I configured it as an assistant for my tech writing job, but you can tailor it to fit other workloads, like a side hustle or a project. It's also important to enable all Google Workspace connectors, so Gemini can access them, including calendar and incoming emails. It's not limited strictly to Pixel phones, as Google has steadily improved integration with non-Pixel hardware like Samsung. Even better, I can access the same Gemini chat or task across my Android devices, including my Samsung Galaxy Z Flip 7 and Galaxy Tab S10 FE, without feeling locked to a single device. To check that, make sure you have Personal Intelligence enabled for your connected apps. Open Gemini, head to Settings, tap Personal Intelligence, and select Connected Apps. On the Connectors page, enable Google Workspace, which bridges a suite of Google services such as Gmail, Calendar, and Drive. Alternatively, you can toggle Search, Photos, and YouTube separately based on your preferences. Create custom Skills for your routine Tailored templates that adapt to repetitive tasks After you enable these connectors, I also advise setting up a new skill designed for your workflow. Skills used to be called Gems, and like custom setups on other chatbots, they serve as reusable prompt templates and unique personas. You can access Skills from Gemini settings, create as many as you need, or ask Gemini to create one for you. All of them remain fully editable after they are generated. You can also combine detailed instructions into text prompts or attach reference files within them. In my case, I treat Skills strictly as standardized templates. I created separate templates for managing my publishing workflow and for general tasks that cover my other Google apps. The real advantage of Skills is that you can summon them in any chat, including inside Task when tackling a specific assignment. When pulling up a skill, simply type a forward slash (/) followed by the name of the template separated by a dash. The app will also show available skills when you type "/." Getting Gemini to work throughout the day I manage apps right in the chat My day starts with Gemini giving me a daily brief that includes curated news, deals I'm monitoring, and a review of my weekly schedule, among others. As a proactive agent, it tracks my upcoming, pending, and overdue tasks and adjusts priorities based on urgency. It also serves as an assistant, reminding me of upcoming meetings and events I need to attend, and works seamlessly with Calendar, Tasks, and Gmail. For example, I set all reminders to deliver at 8:00 AM while the briefing is at 8:30 AM; this keeps alerts from overloading and overlapping on my notifications panel. I then manage these items in the app without leaving the conversation. For instance, I cross out finished tasks or rearrange priorities on the fly. I can also pull data from other Google Workspace apps, like searching for a PDF in Drive and opening it in the chat. There's also new support for in-chat PDF and document generation and editing, which Google recently rolled out. That functionality cuts a large chunk of the tedious work of manually hopping between separate apps. Gemini as my personalized news aggregator Part of my daily routine is having Gemini serve as a curated news aggregator. I've set Task to deliver the 10 top stories that arrived overnight while I was asleep, though you can customize it to a higher number or present the roundup in a spreadsheet or document. It's not perfect at predicting which niche stories I miss or what interests me, since it sometimes lists a few items I've already read. Like a regular chat, though, I tweak and refine the routine and add conditions to sharpen its screening. For general aggregation, it does a pretty good job of curating topics based on what I regularly consume or cover, and it has shaved a full hour or more off my previous workflow of manually screening feeds. Gemini cut my entire workday into hours Gemini is definitely no longer just an ordinary chatbot built for single queries, research, and quick answers. With deep integration across Google Workspace apps and Android, it's a genuinely capable agent for everyday workflows and even labor-intensive projects. I know it still has rough edges to smooth out, like slower processing for complex multistep tasks, but that's a minor quirk that's easy to overlook, especially considering how much more work I can finish.
